Short answer: In Airtable on iPhone, dictation only works in text fields. Number, select and date fields use their own input. Open the expanded record for long text, turn on Enable Dictation or Allow Full Access for your keyboard, and confirm the microphone is allowed in Settings.
You open Airtable on your iPhone to log something quickly: a note on a client call, a new task, a few lines in a record. You tap into a field, tap the microphone, start talking, and nothing arrives. Or the microphone key is not there at all. Or your words go into the wrong record, appear in a strange format, or disappear when you move to the next field. Airtable is a database that looks like a spreadsheet, and its mobile app behaves a bit differently from a notes app or a messaging app. That is why typing and dictating can both feel awkward there.
Most of the time, dictation itself is fine and the cause lies in how the field, the record or the keyboard is set up. This guide goes through ten fixes in order of how often they solve the problem, then explains why Airtable behaves the way it does and how to make voice input a dependable part of your workflow. What kind of dictation are you using?
On an iPhone there are two different things people call dictation, and the fixes differ.
Apple's built-in dictation
This is the microphone key on the standard iOS keyboard. It is part of iOS itself, and it works in any field that shows the standard keyboard. If the key is missing, dictation is turned off in Settings, or you are using a different keyboard.
A third-party keyboard with its own microphone
Keyboards such as Voice Keyboard Pro replace the standard keyboard and bring their own microphone button. They work in any app where iOS allows third-party keyboards, which includes most fields in Airtable. They have their own settings, including a permission called Full Access, and they are the reason a different key layout appears when you tap into a field.
The 30-second test
Open Notes, tap a new note, switch to the keyboard you normally use for dictation and speak a sentence. Then try the same in Airtable.
- Fails in Notes too: the cause is your phone, not Airtable. Check the microphone, the keyboard settings and permissions in fixes 1 to 3.
- Works in Notes but not in an Airtable field: the cause is the field, the keyboard type or how you entered the record. Go to fixes 4 to 8.
- Works in some Airtable fields and not others: go to fixes 4 and 5. Different field types accept different kinds of input.
- Words arrive but look wrong or vanish: go to fixes 9 and 10.
10 fixes for iPhone dictation not working in Airtable
1. Check that dictation is turned on in iOS
Open Settings, then General, then Keyboard, and find the Enable Dictation switch. If it is off, the standard keyboard shows no microphone key. Turn it on, and confirm that your language appears in the dictation list. If you also use a third-party keyboard, this switch does not affect its microphone, but turning it on is still a quick way to rule out a setting that affects the whole phone.
2. Allow microphone access for the app you are dictating with
Go to Settings, then Privacy & Security, then Microphone. If you use a third-party keyboard, its app should be listed with a switch. If Airtable asks for microphone access for other features, such as attaching audio to a record, make sure that is not blocked either. Apple's dictation uses a separate system permission, in Settings under Privacy & Security, then Speech Recognition, so check that as well if the microphone key opens and then closes right away.
3. Check Allow Full Access for a third-party keyboard
Third-party keyboards need permission to use the network and, for dictation, the microphone. In Settings, go to General, then Keyboard, then Keyboards. Tap the keyboard you use and make sure Allow Full Access is on. Without it, the microphone button may be visible but do nothing, or show a message. After you change it, close Airtable from the app switcher and reopen it, so the keyboard reloads with the new permission.
4. Tap into a field that accepts text
Airtable has many field types, and only some of them take typed or dictated text. Single line text and long text accept free typing and speaking. Others do not:
- Number, currency and percent fields show a number pad. There is usually no microphone on it, and dictated words such as "twelve" are not guaranteed to turn into digits.
- Single select and multiple select fields show a list to choose from, not a text box.
- Date fields show a date picker.
- Checkbox, rating and attachment fields are not text at all.
- Formula, rollup and lookup fields are computed and cannot be edited.
If you tap a cell and no standard keyboard appears, the field type is the reason. Dictation is not broken. For number fields, dictating digits, such as "one two" for 12, is a different matter from dictating the word, and results can vary. 5. Use the expanded record view for long text
On a phone, the grid view is small, and tapping a cell can bring up a compact editor. For anything longer than a few words, open the record in its expanded view by tapping the expand icon or the row. The expanded view gives each field a proper space, a larger text area and a full keyboard. Long text fields in particular are much easier to dictate into here, because the field has room to grow and shows your words as they arrive. If you want to log meeting notes, this is where to do it.
6. Make sure the field is the one with the cursor
It sounds obvious, but in a database app, it is easy to start talking when you are not in a field at all. You might have just selected a row, tapped a column header, or opened the sort menu. Tap directly into the field until you see a blinking cursor and the keyboard comes up, then use the microphone. If you swipe between records, wait for the keyboard to settle before you speak. When the keyboard disappears and returns, the microphone sometimes resets, and the first words after the change can be lost.
7. Check that you can edit the record or the base
Airtable has permission levels. A shared base may give you read-only access or comment-only access. A form or a shared view may let you add records but not change existing ones. If the field looks greyed out or the keyboard does not appear at all, check your role in the base. Typing a letter will also fail in that case, so test with the keyboard before assuming the problem is dictation. Ask the base owner to change your access if you need to edit.
8. Switch to the right keyboard
If you have several keyboards installed, iOS may have switched to a different one, such as an emoji keyboard or a language you do not speak. Press and hold the globe key at the bottom left of the keyboard, or tap it to cycle through keyboards, until you see the one with the microphone you want. A language keyboard that does not match the language you are speaking is a common reason for strange output or no response.
9. Fix words that arrive in the wrong form
Airtable stores what you give it, so if your dictation produced the wrong words, the cause is usually transcription and not the app. Common cases:
- Names and company terms come out wrong. Add them to your keyboard's dictionary, or to the personal vocabulary of your dictation tool, so they are spelled consistently.
- Numbers come out as words. Dictate digits, or fix them after.
- Punctuation is missing. Say the punctuation out loud, or add it by hand.

10. Restart and update, in order
If nothing above works, close Airtable fully by swiping it away in the app switcher, then reopen it and test in a record. Next, restart your iPhone, which resets the audio session and can clear a keyboard that has stalled. Update Airtable and your keyboard apps in the App Store, and install any pending iOS update. If dictation only fails after you have been in the app for a while, it may be a memory issue. Closing other apps and trying again can help. As a final step, remove and re-add the keyboard under Settings → General → Keyboard → Keyboards, then turn Full Access back on.
Why Airtable is different from a notes app
In a notes app, there is one big text area and you can dictate a few paragraphs in a single go. Airtable is a structured database, so each piece of information goes into a specific field, and each field has its own type, rules and keyboard. That is the reason voice input feels different there.
A few consequences are worth knowing:
- You will do better dictating into a few long text fields than into many short ones. One field for notes beats ten fields to fill in.
- Moving from field to field is a manual step. Dictation does not know when you have finished one field and want to start the next, so you have to tap.
- Fields that depend on a fixed list, such as select fields, are chosen and not spoken.
- Linked records are picked from a list, so voice input is mostly for the text parts of a record.
If you plan the base so that your voice-heavy fields are long text fields, such as notes, summaries and descriptions, dictation becomes much more useful. - Say it in sentences. Speech runs at around 130 to 150 words per minute, compared with the 40 words per minute that is average for typing on a full keyboard, and phone typing is usually slower still.
- Dictate notes, type codes. Free text suits voice. Short identifiers and numbers are often quicker to tap.
- Fill the structure first. Pick selects and dates by tapping, then dictate the long text last.
- Review before you leave the record. Check names and numbers, since Airtable saves what you give it.
- Use a quiet spot or hold the phone close. A clear signal helps more than any setting.
