Nobody becomes a locksmith to write. You became one because you like solving a physical puzzle with your hands, and because someone locked out of their house at eleven at night is genuinely grateful when you get them back in. But the writing follows you around anyway. Every job produces a note, most produce an estimate or an invoice, half produce a text conversation with the customer, and the good ones produce a review you ought to reply to. If you run a mobile operation, all of that writing happens on a phone, with your thumbs, in a van, usually while the next customer is already calling.

This guide is about moving that writing from your thumbs to your voice. It is written for working locksmiths, residential, commercial and automotive, whether you are a one-van operation or you run a shop with technicians on the road. It covers what to dictate, what not to dictate, how to deal with the vocabulary of the trade, and what a realistic day looks like when the notes get done in the van instead of at the kitchen table at ten at night.

Why locksmith notes come out thin

Ask a locksmith what they did on a job and you get a full answer. The customer had a Kwikset deadbolt with a worn cylinder, the key was turning but not throwing the bolt, you pulled the cylinder, found a broken spring on the third pin stack, rekeyed it while you were in there because the customer had just bought the house, and set the strike plate deeper because the door had sagged. That is a complete, useful note. It tells the office what to bill, it tells the next technician what was done if the customer calls back, and it tells the customer why they paid what they paid.

Now look at what actually gets typed into the job app: "Rekeyed deadbolt, fixed strike." The detail was in your head, and thumb-typing on a phone screen in a van is slow and annoying enough that it never made it out. The gap between what you know and what you write is not laziness. It is the cost of typing. When writing is expensive, people write less, and the note that should protect you in a dispute six months from now says four words.

The arithmetic

The numbers behind this are not exotic. Adults type around 40 words per minute on a full keyboard, and most people are slower on a phone with their thumbs. Normal speech runs at 130 to 150 words per minute. So a 150-word job note, which is about the length of the deadbolt example above, takes four or five minutes to type on a phone and about a minute to say.

Multiply that by a day. A mobile locksmith might run six to ten jobs. If each one has a note, an invoice with a few line items, and a text or two to the customer, that is somewhere around 1,000 to 1,500 words of writing per day. At phone-typing speeds, that is an hour or more, which is exactly why it gets skipped or squeezed into a few words. At speaking speed, it is ten to fifteen minutes, spread across the day in the van between jobs.

The point is not that voice makes you a faster writer. The point is that when writing stops being expensive, you write the note you should have written in the first place.

What a locksmith actually writes

It is worth listing it out, because the total surprises people who think of themselves as not doing much paperwork.

Everything in that list is prose except the codes, the bitting, and the serial numbers. Prose is what voice is good at.

The rule: speak the description, type the identifiers

This is the single most important habit for a locksmith using voice typing, and it applies to every trade that deals in codes. Dictate the words. Type the numbers and letters that have to be exactly right.

A key code such as a five-digit direct code, a bitting sequence, a cylinder serial, a safe model number, a vehicle identification number, and a transponder chip type are all strings where one wrong character makes the record useless or, worse, wrong in a way nobody notices until a key does not work. Speech recognition is very good at "rekeyed the front and back deadbolts to a single key at the customer's request". It is never going to be reliable enough at a string of letters and digits for you to trust it with a bitting. The failure is not that it will get every digit wrong. It is that it will get one digit wrong, occasionally, and you will not catch it.

So the pattern is: hold the key, say the description, release. Then type the code. Then hold the key again and say the next sentence. It sounds fiddly written down. In practice it takes a couple of jobs to become automatic, and the codes are a small fraction of what you write.

What a dictated job note sounds like

Here is the deadbolt job again, this time as it would be spoken into the notes field of a job app, in one breath, with punctuation handled by the transcription rather than by saying "comma" and "period" out loud:

Customer reported the front deadbolt key turning but not throwing the bolt. Pulled the cylinder and found a broken spring on the third pin stack. Replaced the spring and rekeyed both the deadbolt and the knob to a single new key at the customer's request as they have just moved in. Door had sagged so the bolt was catching on the strike. Chiselled the strike mortise deeper and refitted the plate with longer screws into the stud. Tested from both sides. Left three copies of the new key. Recommended replacing the deadbolt within the year as the cylinder is worn.

That is about 100 words, which is roughly forty-five seconds of speaking, and it is a better note than most locksmiths have ever typed. Notice what is not in it: no key code, no cylinder part number. Those go in their own fields, typed. The narrative carries the meaning, the typed fields carry the identifiers, and the two together make a record that would hold up if the customer called in a month to say the lock jammed.

Lock vocabulary and the spelling problem

Locksmithing has a vocabulary that ordinary dictation tools handle unevenly. Some of it is fine. "Deadbolt", "cylinder", "strike plate", "rekey", "master key" and "lever" are plain English words and come out right. Some of it is not fine. Brand names get mangled into look-alike words. Trade terms such as "keyway", "bitting", "interchangeable core", "mortise", "rim cylinder", "pin stack", "wafer", "sidebar" and "restricted keyway" are either rare words or ordinary words used in a way the transcription does not expect. And a fair amount of the trade is spoken in abbreviations and part families that only mean something to another locksmith.

The honest position is this. Modern transcription does surprisingly well with trade language because it works from context, and a sentence about a cylinder and a strike plate gives it plenty. But it will not get your regular brand names and part families right every time on its own, and the mistakes cluster on the words you use most. That is where the tools differ.

Selecting a single wrong word on a phone screen and retyping it is precisely the kind of thing that makes people give up on the note.

In the van: what the iPhone side looks like

For a mobile locksmith, the iPhone is where the work gets written. Total time: two or three minutes, in the van, while the details are still sharp. Then you drive.

At the desk: what the Mac side looks like

If you have a shop, or you do the office side of the business in the evening, the Mac app handles the longer writing. It sits in the menu bar. You hold a hotkey, speak, release, and the text appears at your cursor in whatever is in front, whether that is an estimate for a commercial rekey in your invoicing software, an email to a property manager about a master key system, or a reply to a review in the browser.

Commercial estimates are where this pays off most. A proposal to rekey a forty-door office building with a two-level master key system is a page of prose explaining the structure, the key hierarchy, the number of change keys per door, the cylinder types, and what happens to the existing keys. Typing that is a half-hour job that gets put off. Speaking it is ten minutes, and it comes out more complete because you are explaining it the way you would explain it to the client face to face.

The Mac app also has Meeting Mode with speaker detection and AI notes, which is more useful to a locksmith than it first sounds. A site walk with a facilities manager, where you go door to door discussing what each one needs, is a meeting. Recording it on the Mac and getting notes with who said what means the scope you write up afterwards matches what was actually agreed, door by door, rather than what you remembered in the van.

Doorsteps, parking lots and other loud places

Locksmiths work in noisy places. A doorstep next to a road, a commercial lobby, a parking lot at night with a car alarm going, a plant room with a compressor running. Some practical points.

A realistic day

Here is what a day looks like once the habit is in place, for a mobile residential and automotive locksmith running eight jobs.

7:30. Before the first job, you reply to two reviews from yesterday from the Mac at home. One is a five-star from a lockout, one is a three-star from a customer who thought the after-hours rate was high. You dictate both replies in about ninety seconds, read them once, and post.

8:15. First job, a lockout. Thirty seconds of note in the van: what method, what condition the lock was left in, that you recommended a rekey since the customer did not know who else had a key. Invoice sent from the phone with a one-line description dictated. Text to the customer confirming.

10:00. A residential rekey, four cylinders. Two minutes of note. Key code typed by hand. Line items dictated. Then a text to the eleven o'clock customer saying you are on the way.

11:00. A car key. Longer note, because you want to record what the customer said about the previous key, what you programmed, and that you verified the old key was deleted. Chip type typed by hand. Invoice done in the van.

13:00. A commercial client wants a quote for a small master key system. You walk the site with the manager and record the discussion. Back in the van, you dictate a summary of what was agreed while it is fresh, to expand into a proposal on the Mac that evening.

14:30 to 17:30. Three more residential jobs. Same pattern. Note, code, invoice, text. A message to the supplier asking about a particular cylinder, dictated while parked.

19:30. At the Mac, the commercial proposal. You dictate it from your van summary and the meeting notes. Fifteen minutes. It is a page long, explains the key hierarchy properly, and goes out that night instead of on Thursday.

Total writing time across the day, by voice: perhaps twenty-five minutes. The same output by thumb would have been well over an hour, which means it would not have happened, and the notes would have been four words each.

What not to dictate, and where not to do it

A few honest limits, because a tool that is oversold gets abandoned.

On privacy

Locksmiths hold sensitive information as a matter of routine. You know which houses have which locks, which businesses have which master key systems, and who has keys to what. Customers trust you with that, and it is reasonable to ask where dictated text goes.

Frequently asked questions

Does this work with my locksmith job management app?

On iPhone, Voice Keyboard Pro is a keyboard, so it works in any app that has a text field, including job management, invoicing, scheduling and dispatch apps. It does not integrate with those apps; it just types into them. On Mac, the app inserts text at the cursor in whatever app is in front, including web-based job software in a browser. If your app runs on a phone and accepts typed text, it accepts dictated text.

Will it understand lock brands and trade terms?

Common terms come out right because they are ordinary words used in sentences with plenty of context. Brand names and rarer trade terms are where you see mistakes, and they cluster on the words you use most. On Mac, add those to Smart Vocabulary once and they come out correctly from then on. On iPhone, use Voice Edit to fix a wrong word by saying the correction. Either way, the vocabulary of the trade is large but stable, so the effort is front-loaded into the first week.

Can I dictate key codes or bitting?

You can, but you should not. Strings of letters and digits are the one place where transcription is not reliable enough to trust with something that has to be exactly right. Dictate the description of the work and type the codes. It takes seconds and removes the risk entirely.

I am not a writer. Will my notes sound bad?

They will sound like you explaining the job to someone, which is exactly what a good job note is. Spoken notes tend to be clearer than typed ones from people who do not enjoy writing, because you are not fighting the keyboard. Read the note once before saving and you are done.

Is this the same as leaving a voice memo for the office?

No. A voice memo is an audio file someone has to listen to, and then type up anyway. Voice typing produces text, in the field where it needs to be, that can be searched, billed from and read in ten seconds. If your office currently transcribes your voice memos, this removes that step.

I also do safes and access control. Is the workflow the same?

Yes, and if anything it helps more, because safe openings and access control installs generate longer narratives than a residential rekey. The rule holds: dictate the description of what you did and why, type the model numbers, codes and credential identifiers.
