iPhone Dictation Not Working in OneNote? 10 Fixes That Work

Short answer: In OneNote on iPhone you dictate with your keyboard's mic, so the keyboard has to appear first. Leave the Draw tools, then tap the page body until a cursor blinks. After that, unlock any password-protected section, check the notebook isn't view-only, and confirm Enable Dictation is on in Settings.

You open OneNote on your iPhone to jot down a thought, planning to say it rather than thumb-type it. You tap the page and a squiggly line appears where your finger touched. Or you tap and nothing happens at all. Or the keyboard comes up without a microphone key, or the keyboard you chose is replaced by Apple's the moment OneNote opens. Or you dictate a whole paragraph, and later it is nowhere to be found.

OneNote works differently from most note apps. A OneNote page is a canvas rather than a single column of text, so you can type, draw or drop content anywhere on it. Notebooks live in the cloud and have to download and sync to your phone. Sections can be locked with a password, notebooks can be shared as read-only, and if you use OneNote with a work or school account, your organization can set rules about what happens inside Microsoft apps. Each of these can stop dictation without anything looking obviously broken.

How dictation works in OneNote on iPhone

On iPhone, you dictate into OneNote with the mic key on your keyboard, either Apple's built-in dictation or a third-party keyboard that has a mic. OneNote receives the text exactly as if you had typed it. Two things follow from that. First, if the keyboard does not appear, there is no mic to tap, so most OneNote dictation problems are really "no keyboard" problems. Second, Apple's keyboard dictation does not need OneNote's permission to use the microphone, because the keyboard handles the audio. If your version of OneNote offers a separate Microsoft voice or audio feature, that is a different tool with its own microphone switch, found under OneNote in the Settings app.

The 30-second Notes test

Before you change anything, open Apple's Notes app, create a new note, tap in the body so the keyboard appears, then tap the mic key and say a sentence.

• If dictation fails in Notes too, the problem is dictation on your iPhone, not OneNote. Go to fixes 8 and 10.
• If it works in Notes but no keyboard appears in OneNote, start with fixes 1 and 2.
• If the keyboard appears in OneNote but has no mic, or is not the keyboard you chose, go to fixes 3 and 4.
• If you can see a cursor but your words cannot be added or go missing, start at fix 5 and work down.

The 10 fixes, in order

1. Get a cursor on the page itself

OneNote opens to your notebooks, then sections, then a list of pages. None of those lists accept text. You need to open a page and tap inside it. When a cursor blinks and the keyboard slides up, you are ready.

Check which part of the page you tapped. The page title at the top is its own field, separate from the body, so words dictated there become the page's name in the page list. The search field is separate too. If you tapped into either, tap in the body below the title and try again.

On a page with existing notes, tapping on the text puts the cursor in that block of text. Tapping in empty space elsewhere on the page can start a separate block of text at that spot. Both are fine for dictation, as long as you know which one you are in.

2. Put down the Draw pen

If tapping the page leaves a line or dot instead of placing a cursor, OneNote is in drawing mode. When a pen or highlighter is selected in the Draw tools, your finger draws on the page, and the keyboard never appears because OneNote thinks you are sketching.

Undo the stray marks, then leave drawing mode: in the Draw tools, switch from the pen to the tool for typing or selecting, or go back to the Home tools. The exact icons vary between versions, but the goal is the same. A tap on the page should give you a blinking cursor, not a line. This is easy to miss because OneNote remembers the last tool you used, so a page you sketched on yesterday can open today with the pen still active.

3. Find the mic key on your keyboard

If the keyboard appears but there is no mic, check which keyboard is showing. Apple's mic key sits at the bottom of Apple's keyboard, on the right on most current iPhones. Many third-party keyboards have no mic of their own, so if one of those is active there is nothing to tap. Tap and hold the globe key and switch to Apple's keyboard, or to a third-party keyboard with a built-in mic.

4. Check whether your organization blocks third-party keyboards

This is the cause people rarely think of. If you sign into OneNote with a work or school account, your organization may manage Microsoft apps on your phone with a policy that blocks third-party keyboards inside them. When that policy is on, OneNote shows Apple's keyboard even though you picked another one, and you may see a brief notice explaining why. Other apps on your phone keep using your chosen keyboard, which is why it looks like a OneNote problem.

You cannot switch this off yourself. Apple's keyboard, including its mic, still works in OneNote, so dictation is available. If you need a different keyboard at work, ask your IT team whether it can be allowed. 5. Unlock password-protected sections

OneNote lets you protect a section with a password. The pages in a locked section cannot be read or edited until you unlock them, so tapping them does nothing useful. Tap the section and enter its password to unlock it. Protected sections lock again after a period of inactivity, so a page you were editing earlier can be locked again when you come back to it.

While you type the password, iOS always switches to Apple's keyboard, because password fields do not allow third-party keyboards. If your usual keyboard disappears at that moment and returns afterwards, that is expected and not a fault.

6. Check that the notebook is not read-only

Notebooks can be shared with view-only access. You can open them, scroll and read every page, but you cannot change a word, by typing or by voice. Notebooks stored on a work SharePoint site follow the permissions on that site, so you may be able to read a team notebook without being allowed to edit it.

If every page in one notebook refuses to take text while other notebooks work, ask the owner for edit access. In the meantime, dictate your notes into a page in one of your own notebooks and move them across later.

7. Let the notebook finish syncing, in the right account

OneNote notebooks live in OneDrive or SharePoint, and your iPhone downloads them as you open them. A notebook you are opening on your phone for the first time, or one with a lot of new content, may take a while to arrive, and pages that are still loading may not accept edits yet. Give it a moment on a good connection, then try again.

Accounts cause a related problem. If you use OneNote with both a personal Microsoft account and a work account, each has its own notebooks. A notebook that is missing, or opens without the pages you expected, may belong to the other account. Check which accounts are signed in under OneNote's settings. If a notebook shows a sync error, fix that first, because text you add to a notebook that cannot sync may not reach your other devices.

8. Make sure the microphone is free

Dictation needs the microphone, and only one thing can comfortably use it at a time. An active phone or video call can hold the microphone, and dictation may be unavailable until the call ends. Voice memo and recording apps can do the same, as can a recording started inside another app that is still running in the background.

Bluetooth is the other common cause. If dictation starts and then gives up almost immediately, or the mic key does nothing, disconnect your headphones or earbuds and try with the iPhone's own microphone. If that works, reconnect them and try again, or keep using the phone's microphone for dictation.

9. Find words that landed somewhere else

If you dictated and the text seems to be missing, it usually landed in a place you were not looking. Check these in order:

• The page title. The page may now be named with your first sentence. Look at the page list.
• A different block of text. Pages can be wider than your screen. Pinch to zoom out and look to the right and further down.
• A different page. If you switched pages quickly, the words may be on the page you left.
• The search field. If search was open, your words became a search.

If you replaced something by accident, use undo straight away. Dictation replaces any selected text, just as typing does, so if a word or paragraph was highlighted when you tapped the mic, what you said took its place. Tap once where you want new words, so nothing is highlighted, then dictate.

10. Check dictation on your iPhone

If dictation failed in Notes too, the problem is on the phone. Open Settings, go to General, then Keyboard, and make sure Enable Dictation is on. If the switch is missing or greyed out, check Screen Time: under Content & Privacy Restrictions, open the allowed apps list and make sure Siri & Dictation is allowed. A work or school phone may have dictation restricted by its management profile.

Make sure the keyboard language you are using matches the language you are speaking. Then update OneNote from the App Store, and if nothing else has worked, restart your iPhone. A restart clears stuck audio sessions and keyboard processes in one step.

OneNote quirks that look like broken dictation

• A line turns into a list. OneNote can turn a line that starts like a list item into a bulleted or numbered list. Undo it if you did not mean it, or dictate the words and add the formatting afterwards.
• Punctuation is missing or wrong. iPhone dictation adds punctuation automatically unless Auto-Punctuation is turned off in Settings, under General, then Keyboard. You can also say punctuation such as "comma" and "full stop" out loud.

• Your notes look different on your Mac or PC. A block of text dictated on a small screen can sit in an unexpected spot on a wider page. The text is all there; move it where you want it.

• No keyboard when you tap a page: not on a page, or tapped the wrong spot. Fix 1.
• Tapping draws a line: Draw pen is active. Fix 2.

A dictation workflow that suits OneNote

• Open the page before you start talking. Get the cursor in the body, check the pen is not active, and only then tap the mic.
• Use a working page. Keep a page in your own notebook for quick capture, so a locked section or a read-only team notebook never gets in the way. Move notes to their proper home later.
• Dictate in plain paragraphs, then format. Get the words down first, then add headings, lists and tags by hand.
• Read back as you go. Dictate a few sentences, glance at them, fix anything misheard, and carry on. Mistakes are easier to spot a paragraph at a time.
• Check names and numbers. Dictation can mishear names, figures and dates, and notes are often what you rely on later.

It is worth the effort, because speaking is much faster than thumb-typing.
