An appliance repair day is six to ten calls, and every one of them ends with writing. Diagnostic notes for the office. A parts description for whoever is ordering. An estimate the customer can understand. A warranty narrative that a claims reviewer who was not in the kitchen will accept. A text saying the part is in. And most of that writing happens with thumbs, in the truck, between the last call and the next one, or at the kitchen table at eight in the evening when the details have already started to blur.

Voice typing changes that in a way that is specific to this trade. The technician who saw the failed control board, heard the compressor try to start and smelled the scorched relay is the only person who can write the note properly, and the best time to write it is the two minutes after the door closes. Talking is the only input method fast enough to fit in that window. This guide covers what that looks like in practice, what to dictate and what to type, and where it goes wrong.

Why appliance notes come out thin

Two forces shrink field notes, and neither of them is laziness.

The first is decay. What you noticed on the call is vivid while you are standing in front of the machine and fades fast afterward. By the time you are writing at the end of the day, the fact that the drain pump was making noise before the error code appeared, or that the customer mentioned a power flicker last week, has gone. It was in your head at 10:40 and it was not there at 19:30.

The second is rationing. When words are expensive, you cut them. Thumb-typing on a phone while standing in a driveway is slow enough that you write what the office requires and stop. The observations that would help the next technician, or that would make a warranty claim go through the first time, get dropped because they cost too much to type. The note says "replaced board, tested OK" when the useful version was three sentences longer.

Dictation attacks both. You can write the note in the truck while the detail is fresh, and because speaking is cheap the three extra sentences stay in.

The arithmetic

Nothing here relies on unusual numbers. An average adult types around 40 words per minute on a full keyboard, and thumb-typing on a phone is usually slower. A practised typist manages 80 to 100. Ordinary conversational speech runs at 130 to 150 words per minute.

A proper diagnostic and repair note, with what the customer reported, what you tested, what you found and what you did, runs 200 to 300 words. At 40 words per minute that is five to eight minutes of typing per call. Across eight calls it is most of an hour, which is why it gets pushed to the evening and then rationed. Spoken, the same note takes about two minutes, which fits before you put the truck in gear.

That is the whole case. Not that voice is magic, but that it turns a chore that does not fit into the day into one that does.

What an appliance technician actually writes

It helps to list the writing, because it is more than most technicians realise and almost all of it is dictatable.

Everything on this list is prose. Prose is what dictation is good at. The one thing on every appliance call that is not prose is the identifier, and that gets its own rule.

The rule: speak the description, type the identifiers

Model numbers, serial numbers, part numbers and error codes are strings of letters and digits with no words in them. Dictation handles them badly, and worse, it handles them badly silently. A description that comes out wrong looks wrong when you read it back. A part number with two digits transposed looks exactly like a correct part number. You find out when the wrong part arrives, or when the warranty claim is rejected against a serial that does not match the unit.

So the working rule is simple. Dictate everything that is a sentence. Type, scan or copy everything that is a code. The practical way to do it is to dictate the note with a bracketed placeholder wherever a code belongs, then go back and fill the brackets by hand from the rating plate or the ticket.

Error codes are a partial exception. A short code you say deliberately, letter by letter and digit by digit, usually comes through, and it is worth including in the narrative because it is part of the story. But confirm it when you proofread, and never let a spoken code be the only place that code lives.

What a dictated diagnostic note sounds like

The following is an invented example to show the shape, not a transcript from a real call. Placeholders are in brackets where a code or name would be typed by hand.

Customer reports front-load washer stops mid-cycle and displays an error, happens on every cycle for the past week, started after a load of bath mats. Confirmed the error on a test cycle at the drain stage. Pulled the lower panel and checked the drain filter, found a hair tie and a large amount of lint, cleared it. Ran the pump manually, pump runs but sounds rough, impeller has visible play. Drain hose clear, no kinks, standpipe height fine. Recommend replacing the drain pump, part number [PART], unit model [MODEL], serial [SERIAL]. Customer approved the estimate. Part is not on the truck, ordered for return visit. Advised the customer to check pockets and to use a mesh bag for small items. Machine left drained and off.

That is about 130 words. Spoken, it takes under a minute. Typed on a phone standing next to the truck, it is several minutes, which is why the real-world version usually reads "drain pump, ordered, return visit". The dictated version answers the question the office, the parts desk, the customer and the next technician will each ask.

Brand names, part names and the vocabulary problem

Appliance work has a heavy vocabulary. Manufacturer names, sub-brands, part names that are ordinary words used in specific ways, and the shorthand your own shop uses. A general-purpose transcription engine gets most of it and mangles some of it, and the mangled ones are always the ones you use most.

There are two ways to deal with that, and they live on different devices.

On a Mac, Voice Keyboard Pro has Smart Vocabulary, a personal dictionary with replacement rules. You add the terms that come out wrong and the spelling you want, and from then on they land correctly. In the truck: what the iPhone side looks like

On iPhone, Voice Keyboard Pro is a keyboard. You add it in Settings like any third-party keyboard, switch to it, and there is a microphone button built in. You dictate in one language and the message goes out in another. Read the translated message before you send it, every time. Translation is good and it is not a substitute for knowing what you promised a customer.

Two practical notes. The keyboard needs Full Access enabled in Settings to reach the transcription engine, like every third-party voice keyboard, and it needs a data connection, so a basement laundry room with no signal means you dictate in the truck afterward rather than next to the machine. Neither is a problem in practice once you know.

At the desk: what the Mac side looks like

Some appliance work happens at a computer. Owners and office staff write estimates, chase warranty claims, answer reviews and handle supplier correspondence. Technicians who do their own paperwork do it at a laptop in the evening. If that computer is a Mac, the workflow is the menu bar app: hold a hotkey, speak, release, and the text appears at the cursor in whatever is in front of you, including the text fields of a browser-based field-service or invoicing system. It works the same in a warranty portal's claim form, a spreadsheet cell, or an email.

Smart Vocabulary lives here, and so does Meeting Mode, which records a meeting with speaker detection and produces AI notes. In this trade its honest use is bounded: the Monday shop meeting, a training session on a new product line, a call with a distributor rep. It is not for the customer's kitchen. Recording a customer without clear consent is a bad idea everywhere and illegal in some places, and a repair call is not a meeting. Calendar meeting detection can prompt you to start it when a scheduled meeting begins, which is useful for the shop meeting and irrelevant on a service call.

Kitchens, laundry rooms and other loud places

Appliances make noise, and the ones you are called to often make more of it. A refrigerator condenser fan, a dryer drum, a washer in spin, a dishwasher mid-cycle, a compressor you have just got running again, plus a television and children in the next room. A few habits make a real difference.

What not to dictate, and where not to do it

Dictation is out loud, and that changes what is appropriate. A short list of judgement calls that come up in this trade specifically.

On privacy

Customer names, addresses and what is wrong with their appliances are the customer's information, and technicians are right to ask where it goes. Do not measure by words per minute. Measure by three things a month in.

Frequently asked questions

Does this work with my field-service or dispatch app?

On iPhone, Voice Keyboard Pro is a keyboard, so it works in any app that shows a keyboard, including the notes and message fields of field-service apps. On Mac, it types at the cursor in any app, including browser-based systems. If your company issues Windows laptops or Android tablets, the Mac and iPhone apps do not cover those devices, and you would use it on your own phone for the writing that is yours.

Will it understand appliance jargon and brand names?

Most of it out of the box, and the rest is fixable. On Mac, add the terms it misses to Smart Vocabulary with the spelling you want. On iPhone, use Voice Edit to correct a term by speaking the change. Either way, type the model, serial and part numbers rather than dictating them.

I am a technician, not a writer. Will dictated notes sound bad?

They will sound like you explaining the job to a colleague, which is exactly what a good service note is. Speak in the order you worked: what they reported, what you tested, what you found, what you did. Read it once before it goes out. That is the entire skill.

Is this the same as leaving a voice memo for the office?

No, and the difference matters. A voice memo has to be listened to and typed up by somebody, which means it usually is not. Dictated text is already text. It goes on the ticket, into the claim, into the search box next time the job comes back.
