Short answer: Farmers can dictate scouting notes, application records, livestock treatment notes, breakdown reports, landlord updates and crew messages in the cab at 130-150 words per minute instead of thumb-typing at 40. Speak the description, type the registration numbers, rates and tag numbers, and proofread anything that becomes a legal record.
Nobody farms because they like paperwork. But the paperwork follows you into the cab anyway. Every pass across a field produces a record. Every animal you treat produces a note with a withdrawal date attached to it. Every breakdown produces a message to the dealer, every rented quarter produces an update the landlord expects, and every load that leaves the yard produces a text to the buyer or the hauler. On a modern farm, most of that writing is done on a phone, with your thumbs, sitting in a tractor at the headland or in the truck at the end of the lane, and a good deal of it is done badly late at night at the kitchen table, or not done at all.
This guide is about moving that writing from your thumbs to your voice. It is written for working farmers and ranchers, whether you run row crops, livestock, orchards, vegetables or some mix of them, and whether you farm alone, with family, or with a hired crew. It covers what to dictate, what not to dictate, how to handle the vocabulary of your operation, and what a realistic day looks like when the records get done in the cab while the details are still sharp.
Why farm records come out thin
Ask a farmer what they saw in a field this morning and you get a full answer. The east forty had a flush of weeds coming through in the low corner where it stayed wet, the stand looked thin along the tree line, there was some feeding on the leaves at the north end that looked like it was just starting, and the tile outlet in the ditch was running clear. That is a complete, useful scouting note. It tells you what to spray and where, what to watch next week, and it tells the agronomist something real when they call.
Now look at what actually gets typed into the phone, if anything: "E40 weeds, check north end." The detail was in your head at eight in the morning. By the time you sit down at nine at night, the low corner and the tree line and the feeding at the north end have blurred into "some weeds, some bugs", and the note that would have told you next spring exactly where the problem started says five words.
The gap between what you know and what you write is not laziness. It is the cost of typing. When writing is expensive, people write less, and the record that should protect you in an insurance claim, a program audit or a landlord conversation gets thinner every year.
The arithmetic
The numbers are not exotic. Adults type around 40 words per minute on a full keyboard, and most people are slower than that on a phone with their thumbs, slower still with cold fingers or a glove pulled half off. Normal speech runs at 130 to 150 words per minute. A 200-word field note, which is about the length of the scouting example above, takes five or six minutes to type on a phone and about a minute and a half to say.
Multiply that across a season. A spraying day might mean six to ten tank loads, each of which needs a record. A calving season means a note per animal that needs attention. A harvest means a text per load, a note per breakdown, and a running conversation with the elevator, the hauler and the landlord. Through a growing season the writing adds up to thousands of words, and at thumb-typing speeds that is hours you do not have, which is exactly why it gets skipped or squeezed into a few characters. At speaking speed it is a few minutes a day, spread across the day in the cab between passes.
Even a practised typist at 80 to 100 words per minute is well short of speaking pace, and nobody is typing at that speed on a phone. The point is not that voice makes you a faster writer. The point is that when writing stops being expensive, you write the record you should have written in the first place.
What a farmer actually writes
It is worth listing, because the total surprises people who think of farming as outdoor work.
- Scouting and field notes. What you saw, where, and what you intend to do about it. Weed pressure, disease, insect feeding, stand counts, wet spots, drainage, fence condition. The notes that make next year's decisions better.
- Application records. In many places you are required to keep a record of what was applied, to which field, on what date, at what rate, in what conditions, and by whom. Even where it is not required, your buyer, your landlord or your crop insurer may ask for it. The narrative part of that record can be spoken. The numbers cannot, and we come back to that.
- Livestock treatment records. Which animal, what it was treated for, what was given, and the withdrawal period before that animal or its milk can be sold. Calving, lambing and farrowing notes. Breeding records. The same rule applies: describe by voice, identify by hand.
- Breakdown and maintenance notes. What failed, what you heard before it failed, what you tried, what you need from the dealer. A good description sent from the field gets the right part on the truck. A vague one gets two trips.
- Landlord and landowner updates. A large share of farmland is rented, and landlords who hear from you regularly renew. A short monthly note on how their ground is doing is the cheapest goodwill in farming, and it is the kind of writing that always gets put off.
- Crew instructions. Where to go, what to do, what to watch for, what not to touch. Often across a language barrier, which we cover below.
- Buyer, hauler and supplier messages. Load ready, moisture, bushels or tonnes, where to pick up, gate codes, delivery windows. Orders to the co-op. Questions to the seed rep.
- Insurance and program paperwork. A hail or wind claim needs a dated narrative of what happened and what you saw. Conservation and cost-share applications need a description of your practices. These are paragraphs, and they are read by someone who was not there.
- Direct-to-consumer writing. If you sell at a market, run a farm stand or a subscription box, there are newsletters, social posts and review replies. Our guide to dictating replies to Google reviews applies to farm stands as much as to any shop.
Almost everything in that list is prose, except the identifiers. Prose is what voice is good at.
The rule: speak the description, type the identifiers
This is the single most important habit for a farmer using voice typing, and it matters more in agriculture than in most trades because so many of your records are regulated or contractual. Dictate the words. Type the numbers and codes that have to be exactly right.
A product registration number, a rate per acre or per hectare, a lot number, a hybrid or variety code, an ear tag number, a field identifier, a serial number on a broken part, a withdrawal date. These are all strings where one wrong character makes the record useless or, worse, wrong in a way nobody notices until an inspector, a buyer or a vet is looking at it. Speech recognition is very good at "sprayed the east forty for broadleaf weeds after the wind dropped, boom height set for the crop stage, no drift observed toward the neighbour's beans". It is never going to be reliable enough at a string of letters and digits for you to trust it with a registration number or a rate. The failure is not that it gets every digit wrong. It is that it gets one digit wrong, occasionally, silently, and you do not catch it.
So the pattern is: hold the key, say the description, release. Then type the number. Then hold the key again and say the next sentence. If you are dictating a long note and you reach a number you do not have in front of you, say a placeholder in square brackets, "rate [check label]", and fill it in later. One partial exception. Round quantities inside a sentence, "two loads", "about forty head", "ten acres left", usually come out fine because they are ordinary words in context. Check them anyway. Rates and identifiers get typed, no exceptions.
What a dictated application record sounds like
Here is the kind of narrative that belongs alongside the typed fields of an application record. This is an invented example, not a transcript from any real farm, and the bracketed items are the parts you would type by hand:
Applied [product] to the east forty this morning, finished about ten thirty. Wind was light out of the southwest and dropped further once the sun came up, so I started on the east side and worked away from the neighbour's beans. Target was the flush of broadleaf weeds in the low corner and along the waterway, with the rest of the field fairly clean. Crop was at [growth stage]. Boom height adjusted for the stage. Water rate [rate], product rate [rate], registration [number], lot [number]. No drift observed, no equipment issues, rinsed out at the yard. Applicator: [name], licence [number].
That is about 110 words, roughly fifty seconds of speaking, and the narrative part is better than most application records anyone has typed with their thumbs. Notice what the voice did and did not do. The voice wrote the conditions, the target, the sequence and the observations, the parts an inspector or an agronomist actually reads to understand what happened. The typed brackets carry the identifiers. The two together are a record that would hold up, and it was done in the cab before the next tank, not reconstructed on Sunday from memory.
A livestock note follows the same shape. "Found the heifer with the swollen front left foot in the north pen this morning, mild lameness, no heat in the leg, appetite normal, treated per the vet's standing protocol and moved her to the sick pen for observation." Then you type the tag number, the product, the dose and the withdrawal date into their fields. Farm vocabulary and the spelling problem
Agriculture has a vocabulary that ordinary dictation handles unevenly. Some of it is fine. "Headland", "waterway", "pre-emergent", "stand", "tillage", "withdrawal" and "heifer" are ordinary words, and in a sentence with context they come out right. Some of it is not fine. Product trade names get mangled into look-alike words. Hybrid and variety names are often part word and part code. Breed names, implement names, the name of the quarter section everyone on the farm calls by a family name from fifty years ago, and the local shorthand for every field on the place are all things a general-purpose transcription has never heard.
The honest position is this. Modern transcription does surprisingly well with trade language because it works from context, and a sentence about boom height and a waterway gives it plenty. But it will not get your product names, your field names and your variety names right every time on its own, and the mistakes cluster on the words you use most. That is where the tools differ.
On Mac, Voice Keyboard Pro has Smart Vocabulary, a personal dictionary with replacement rules. You add your field names, the product names you use every season, the varieties you planted this year, and the landlords' and suppliers' names, and you can set a rule so that the shorthand you say comes out as the full written form the record needs. The first week you add a couple of dozen terms. After that you rarely touch it, because the vocabulary of an operation is large but stable from one year to the next. On iPhone, where most of your dictation will actually happen, the equivalent is Voice Edit. If a product name comes out wrong in a note, you say the correction, "change that to the right name", and the text is fixed without you selecting anything or retyping. In a cab, with one hand on the phone and a glove on the other, that matters. Selecting one wrong word on a phone screen and retyping it is precisely the thing that makes people give up on the note.
In the cab and the truck: the iPhone side
For most farmers the iPhone is where the records get written. That is the whole point. You do not dictate into one app and copy into another. The notes field in your record-keeping app, the message to the hauler and the email to the landlord are all just fields, and the keyboard works in all of them. When a variety name comes out wrong, Voice Edit fixes it by voice. When you need to send a gate code or a short reply and it is not worth speaking, you can swipe-type it with one thumb.
Two practical points specific to farming. First, the keyboard needs a data connection at the moment you dictate. Anyone who farms knows what the signal is like at the back of the far field, so the habit is to dictate where you have a bar or two, which usually means the road end, the yard, or the high ground. If you are out of range, write the note when you get back into it, or leave a voice memo on the phone as a reminder and dictate the real note at the yard. Second, the keyboard asks for Full Access when you set it up, which is what allows a third-party keyboard on iOS to use the microphone and the network. That is standard for any dictation keyboard.
Crews and languages
If you employ a crew that does not share your first language, the keyboard can translate as you dictate, both directions, in 24 languages. You speak in English and the message goes out in the crew's language, or a crew member speaks in theirs and you read it in yours. For routine instructions, where to go, what to move, when lunch is, it is genuinely useful. Two caveats, and they matter. Read the translated message before you send it, because a machine translation of a farm-specific instruction can come out oddly. And never rely on a translated text alone for a safety instruction. Anything involving chemicals, machinery, livestock handling or electricity gets confirmed in person, with the person repeating it back. Text is a supplement to that, not a replacement.
Gloves, dust and wet hands
There is a reason voice suits farming better than it suits an office. A phone screen does not work well with a wet thumb, a dusty thumb or a glove. Half the reason the note does not get written is that writing it means pulling a glove off, wiping a hand on your jeans, and pecking at a screen that misreads every third touch. A microphone does not care about any of that. You tap once to start, speak, tap once to stop. The glove stays on.
The same applies to cold. Thumb-typing in a cab in February is slow and miserable. Talking is not.
At the farm office: the Mac side
An honest note first. A lot of farm offices run Windows, because that is what much of the accounting and record-keeping software runs on. The Mac app is for Macs. If your farm office is a Mac, or you do the long-form writing on a Mac laptop at the kitchen table, this is where it helps.
The Mac app sits in the menu bar. You hold a hotkey, speak, release, and the text appears at your cursor in whatever is in front, whether that is a claim narrative on the insurer's website, a cost-share application, a landlord letter, a subscription newsletter for your farm stand, or an email to the agronomist about what you saw across six fields this week. Long-form writing is where the speed gap between typing and speaking is widest, and it is the writing farmers put off longest.
Smart Vocabulary lives here, with the field names, products, varieties and people that make up your operation. Add them once at the start of the season.
The Mac app also has Meeting Mode, with speaker detection and AI notes, and calendar detection so it can notice a scheduled meeting. On a farm the meetings that justify it are the ones where what was agreed matters afterwards: a sit-down with a landlord about a lease, a planning session with the agronomist or the seed rep, a co-op or board meeting you are on, or a family meeting about succession, which is the one nobody writes down and everyone later remembers differently. Use it with everyone's knowledge and consent. It is not for recording a conversation at the elevator or a neighbour across the fence.
Cabs, barns, wind and grain dryers
Farms are loud places, and some practical points make the difference between a clean note and a mess.
- Stop at the headland, turn the radio off, then talk. A modern cab at idle is quiet enough. A cab at full throttle with the radio on and the monitor beeping is not. Thirty seconds at the end of a pass is all the note takes.
- Do not dictate in the barn during feeding, or next to the dryer. Step into the truck or the office. Fans, augers and animals at feeding time are the worst backgrounds there are. Our guide to dictation in background noise covers what actually helps and what does not.
- In wind, use earbuds with a microphone. They keep the mic close to your mouth and out of the gusts. Any wireless earbuds work.
- Hold the phone at a normal distance and speak normally. Shouting into a phone held against your mouth makes transcription worse, not better.
- Speak in complete sentences. Transcription uses context to get words right. "Sprayed the east forty for broadleaf weeds" is more likely to come out correctly than "E40 broadleaf spray" barked as three words. Our post on how to speak clearly for dictation has more.
Never while operating
This needs saying plainly. Do not dictate while the machine is moving. Not on the road, not in the field, not with autosteer engaged. Autosteer keeps the tractor on the line; it does not watch for the person, the animal or the tile riser that you are supposed to be watching for, and a phone in your hand at the headland turn is how accidents happen. The habit this article describes is dictating while stopped, with the machine in park or the implement raised and the phone in your hand only because nothing else is. A realistic day
Here is what a spraying day looks like once the habit is in place, for a row-crop farm with a couple of rented parcels.
6:00. Coffee, weather check, and a text to the two crew members about which fields are on the list and where the water tender will be. Dictated in the kitchen in twenty seconds, translated for one of them, read once, sent.
7:30. First tank on the home field. At the end of the field, stopped, radio off, you dictate the narrative for the application record in your record app: conditions, target, sequence, observations. You type the rate and the product number. Ninety seconds.
9:15. A nozzle problem. Before you climb down, you dictate a note to yourself about what the pattern looked like and which section it was on, so that when you message the dealer at lunch you have the detail.
10:30 to 13:00. Three more tanks, three more records, each done at the headland before the refill. A text to the landlord of the east parcel: "Sprayed your ground this morning, weeds were coming in the low corner but the rest looked clean, stand is good." Twenty seconds, and it is the kind of message that gets a lease renewed.
13:00. Lunch in the truck. The message to the dealer about the nozzle, dictated from the note you left yourself. A reply to the seed rep's question about how the new variety looks, with a real answer instead of "fine".
14:00 to 18:00. The rented quarter across the road. Same pattern. On the way back to the yard you notice the fence on the north side needs attention, and you dictate that into the to-do note while stopped at the gate.
19:30. Instead of an hour of catch-up typing at the kitchen table, you spend ten minutes on the Mac dictating the weekly scouting summary for the agronomist, from the notes you left yourself during the day.
Total writing time across the day, by voice: perhaps fifteen minutes. The same output by thumb would have been well over an hour, which means it would not have happened, and the application records would have said as little as they legally could.
What not to dictate, and where not to do it
A few honest limits, because a tool that is oversold gets abandoned.
- Nothing while the machine is moving. Covered above. It bears repeating.
- Registration numbers, rates, lot numbers, tag numbers, serials, dates that have legal weight. Type them.
- Anything that becomes a regulated or contractual record gets proofread before it is saved or signed. An application record, a treatment record, a claim narrative, a program application. Reading a dictated paragraph takes fifteen seconds and catches the one wrong word. Nothing about dictating changes what your jurisdiction, your buyer or your insurer requires the record to contain. Voice only makes the narrative part faster to write.
- Do not dictate price negotiations, lease terms or a neighbour's business where anyone can hear you. The elevator office, the co-op counter and the sale barn are not places to speak a landlord's rent into your phone. Type it, or wait for the truck.
- Do not dictate an employee's personal details in front of other people. The same courtesy you would want.
- Do not let it make you sound like a manual. The example above is plain English because it was spoken. Keep it that way. Nobody needs "the operator proceeded to" in a field note.
On privacy
Farmers have become careful about where their data goes, and rightly so. Yields, inputs, rents and animal records are the business, and who holds them matters.

- The dealer gets the right part on the first trip, because the breakdown message described the problem properly.
- Landlords hear from you monthly without it feeling like a chore.
- The evening paperwork shrinks to the things that genuinely need a desk, like a claim narrative or a program application, and those go out on time.
If after two weeks none of that is happening, the usual reasons are that you are trying to dictate with the machine running and the radio on, or that you are trying to dictate the numbers and getting frustrated when they come out wrong. Stop at the headland, turn the radio off, type the numbers, and try again.

Frequently asked questions
Does this work with my farm management or herd-record app?
On iPhone, Voice Keyboard Pro is a keyboard, so it works in any app that has a text field, including record-keeping, herd management, scouting and ordering apps. It does not integrate with those apps; it types into them. On Mac, the app inserts text at the cursor in whatever is in front, including web-based farm software in a browser. It does not cover Windows or Android. If your app runs on an iPhone or a Mac and accepts typed text, it accepts dictated text.
Will it understand agricultural terms and product names?
Common terms come out right because they are ordinary words used in sentences with plenty of context. Product trade names, variety codes and the names of your own fields are where you see mistakes, and they cluster on the words you use most. On Mac, add those to Smart Vocabulary once and they come out correctly from then on. On iPhone, use Voice Edit to fix a wrong word by saying the correction. The vocabulary of a farm is large but stable, so the effort is front-loaded into the first week of the season.
Can I dictate my spray records?
You can dictate the narrative part: conditions, target, sequence, observations, anything an inspector or agronomist reads to understand what happened. Type the registration numbers, rates, lot numbers and dates into their fields, and proofread the record before you save it. Whatever your jurisdiction requires the record to contain does not change. Voice just makes the part that used to say "sprayed E40" say what actually happened. What about when I have no signal?
The iPhone keyboard needs a data connection when you dictate. If you are out of range, write the note when you are back in it, at the road, the yard or the high ground, or leave yourself a quick voice memo as a reminder and dictate the real note later. Most farmers find that the road end or the yard is where the notes get done anyway, because that is where you stop.
I run cattle, not crops. Is the workflow the same?
Yes. The records are different, treatment notes, calving notes, breeding and movement records, pasture condition, but the shape is identical. Describe the animal and what you observed and did by voice, type the tag number, the product, the dose and the withdrawal date, and proofread before saving.
