Short answer: Voice typing lets solar installers dictate site survey notes, design handoffs, change orders and commissioning reports at the job instead of retyping from memory that night. Speak the descriptions, type the numbers, proofread once. Voice Keyboard Pro works on iPhone in the field and on Mac in the office.
A residential solar install generates more paperwork per job than almost any other trade that works on a roof. There is the site survey, the design handoff, the permit packet, the utility interconnection application, the inspection, the commissioning report, the customer orientation, and then years of service tickets once the system is live. Most of that text is written by people who spent the day on a ladder, in an attic, or in a van between two addresses, and it gets written on a phone with two thumbs.
This guide is about replacing the thumbs with your voice for the parts of the job that are narrative: descriptions, observations, explanations, instructions. It is not about replacing the numbers. We will get to that rule, because it is the one that keeps voice typing from becoming a liability on a job where a wrong digit matters.
Why typing fails solar installers in particular
Two things: decay and rationing.
Decay. The details you saw on a roof at ten in the morning are sharp at ten. By seven in the evening they blur. Which side of the chimney had the flashing lifting. Whether the attic had two layers of insulation or one. How many rafters you actually saw versus assumed from the one you could reach. What the customer said about the neighbour's tree and whether they were willing to trim it. A survey written at the kitchen table from memory is a survey with gaps, and every gap becomes a phone call back to the customer, a guess in the design, or a change order on install day.
Rationing. When writing is slow, you write less. A typical adult types around 40 words per minute on a full keyboard and considerably less on a phone standing in a driveway. Speech runs at 130 to 150 words per minute. Even a practiced typist at 80 to 100 words per minute is well behind talking. When every sentence costs effort, the sentences that get cut first are the qualifiers: "assumes the existing roof has at least ten years of life left", "customer was told a panel upgrade may be required pending the load calculation", "did not access the north attic space, blocked by ductwork". Those are exactly the sentences that protect you when something is disputed later.
A proper site survey narrative runs 300 to 500 words. Said out loud, that is three or four minutes. Thumb-typed, it is long enough that it does not get written in full, and the version that does get written is the short one.
What solar installers actually write
Look at a week of your own messages and forms and most of it falls into one of these:
- Site survey notes. Roof material and condition, pitch, orientation of each usable plane, obstructions (vents, skylights, chimneys, satellite dishes, existing conduit), shading sources and the time of day they bite, attic access and framing, rafter spacing where visible, main service panel condition, meter location, proposed conduit route, trenching notes for ground mounts, customer preferences on where panels can and cannot go, gate codes and the dog.
- Design handoff. Everything the designer needs that the photos do not show. Why you rejected the west plane. Where the customer wants the inverter and where it can actually go.
- Proposal follow-ups. The questions the customer asked after the sales visit, answered in writing.
- Change orders. A soft spot found on install day, a main panel that will not take the backfeed breaker, a tree the customer needs to arrange trimming for, an attic run that has to become an exterior conduit run.
- Permit and AHJ correspondence. Plan check comments, corrections, resubmittal notes, and the polite reply to the authority having jurisdiction that explains why the drawing is right.
- Inspection prep and the inspector's comments, captured on the day, as close to verbatim as you can manage while they are still in the driveway.
- Commissioning reports and the permission-to-operate narrative. What was tested, what the monitoring showed, what the customer was walked through.
- Service tickets on live systems. An inverter fault, a string underperforming, a monitoring gateway offline, rodent damage to wiring, a breaker that keeps tripping.
- Crew instructions and end-of-day wrap-ups. What is done, what is not, what the next crew needs to bring.
- Reviews and referral asks. The message you send after the system is live and the customer is happy.
Every one of those is mostly prose with a handful of numbers embedded in it. That split is the whole method.
The rule: speak the descriptions, type the numbers
Voice is excellent at sentences and poor at strings. A voltage reading, a breaker rating, a panel count, a serial number, an inverter model number, a utility account number: these have to be exactly right, and a misheard digit is silent. "Twenty-eight" and "twenty" sound close over wind. "Fifteen" and "fifty" are worse. Nobody catches the difference until an inspector does, or a monitoring alert does, or a warranty claim does.
So dictate the sentence, leave a bracket where the number goes, and fill the bracket by hand before you send. Read every serial off the label with your eyes, not your mouth. It costs a few seconds per number and it removes the one category of error that voice typing genuinely introduces.
Here is what that looks like in practice. This is an invented example written for illustration, not a real transcript from a real job:
South-facing main plane, composition shingle, roughly [pitch] pitch, good condition, no visible soft spots. Two plumbing vents and one furnace flue near the ridge, both can be worked around with one panel shifted. Neighbour's tree on the southwest corner will shade the lower two rows in the late afternoon through summer, customer is aware and does not want it trimmed. Attic accessed from the hallway hatch, rafters visible, spacing looks like [spacing] but confirm on install day. Main panel is [brand], [rating] amp, in the garage, [number] open spaces, bus bar rating to be confirmed for the backfeed. Meter on the east wall, conduit route proposed along the eave to the garage, customer wants it painted to match. Customer prefers no panels visible from the street. Gate code [code], friendly dog, close the side gate behind you.
That reads like something a designer can act on without calling you. It took under a minute to say. The brackets get filled from the photos and the tape measure, in the truck, with the phone held still.
On the roof and in the truck: the iPhone side
Most field write-ups happen on a phone, so this is where the change is biggest. Voice Keyboard Pro on iPhone is a keyboard rather than a separate app, which means the microphone button is available inside whatever app you already use: the notes field in your survey app, the CRM, Messages, email, the shared crew chat. Tap the mic, talk, and the words appear where the cursor is. When you install it, enable Full Access for the keyboard so the mic can work, and remember it needs a data connection to transcribe. A roof in a valley with one bar of signal is not the place to find that out, so if the connection is bad, walk down and write it in the truck.
Three other things on the iPhone side earn their place on a solar crew:
- Voice Edit. Speak a change to fix text without retyping it. "Change the pitch to [value]." "Remove the sentence about the dog." "Make that two vents, not three." The correction happens in place.
- Two-way translation while dictating, in 24 languages. A crew note said in English lands in Spanish, or the other way round. Crews are often bilingual and instructions get lost in the gap. Read the translated message before you send it. Translation is good, not perfect, and anything to do with safety or de-energising deserves a second look by a human who speaks both languages.
- Swipe typing for the short bits that are quicker to swipe than to say, like a one-word reply or a gate code you would rather not say out loud in a driveway.
Practically: gloves off for the tap, phone in the chest pocket, and dictate at the base of the ladder or on the ground while looking up at the roof, not while you are on it. More on that under safety.
At the office: the Mac side
Commissioning reports, permit correspondence, proposals and the end-of-day customer emails mostly happen at a desk. On Mac, Voice Keyboard Pro lives in the menu bar. Hold the hotkey, speak, release, and the text appears at your cursor in whatever app you are in: the permit portal's comment box, your email client, a spreadsheet cell, the notes field in your design software. There is no dictation window to copy out of.
Smart Vocabulary is the feature that matters most for this trade. It is a personal dictionary with replacement rules. Add the inverter and optimiser model names you install, the racking brand, the names of the authorities having jurisdiction in the counties you work, the utility's name for its interconnection programme, and your own shorthand. Set "MSP" to expand to "main service panel" and "PTO" to "permission to operate" where a customer will read it. Once a term is in the dictionary it comes out spelled the way you entered it, every time, instead of being guessed at.
Meeting Mode covers the meetings that produce action items: the pre-construction call with the customer, the design review, the weekly crew scheduling meeting, the safety meeting. It runs with speaker detection and produces AI notes, so you get a summary and who said what rather than a wall of text. Calendar meeting detection picks up meetings on your calendar so you do not have to remember to start it. Two boundaries: use it for meetings where everyone knows it is running and agrees, and do not use it to record customers at the door or an inspector in the driveway. Some states require all-party consent for recording a conversation. Check before you record, every time.
A realistic day
- 7:15, in the truck, parked. Yesterday's punch list dictated into the crew chat. Two minutes.
- 8:30, first survey. Walk the roof, take the photos, come down. Dictate the survey narrative at the ladder base looking up at the roof, brackets for the numbers.
- 9:10, in the truck. Fill the brackets from the photos and the measurements. Send the design handoff. The designer has it before you reach the next address.
- 11:00, install site. The main panel will not take the backfeed breaker. Dictate the change order narrative and the customer explanation before you phone them, so you are reading from something rather than improvising.
- 13:00, lunch. Service ticket for yesterday's monitoring-offline call, written while it is still clear what you found.
- 15:30, inspection. The inspector's comments dictated in the driveway the moment they drive off, while the wording is exact.
- 17:00, office. Commissioning report from the day's notes, Smart Vocabulary handling the model names. Permission-to-operate narrative to the utility.
- 17:40. Customer orientation email. Done before six, and nothing was retyped from memory.
The point is not the hours. The point is that nothing waits for the evening, and the version that gets written is the complete one.
Wind, inverters, and generators: getting clean transcription on a job site
Wind across a phone microphone is the main enemy anywhere near a roof. Turn your back to it, cup the phone, or move to the lee side of the house or down the ladder. Speak in complete sentences at a normal pace rather than louder; shouting into wind makes transcription worse, not better. Inverter hum and generator noise are steady and mostly fine. A nail gun, an impact driver or a saw is not, so wait for the pause. If your dictation tool wants punctuation said out loud, say it. Safety, which is not negotiable
Do not dictate while moving on a roof, on a ladder, or while handling panels, racking or wiring. Standing still with a hand on something solid, or on the ground, is the rule. Voice typing is meant to remove a reason to stare at a phone on a roof, not add one.

What not to dictate
- Pricing, financing terms and incentive figures within earshot of the customer or a neighbour. Type them, or say them in the truck with the door closed.
- Customer account numbers, utility account numbers, and anything tied to a financing application. Type, do not say.
- Anything the customer would not want their neighbour to hear about their house, their panel, or their electrical problems. Driveways carry sound.
- Inspector conversations. Dictate your own summary after they leave. Do not record an inspector without asking.
- Anything your company's policy covers. If you work for an installer with rules about third-party software on company phones, ask first. Utility-owned, municipal and commercial projects can have their own documentation rules on top.
Privacy, plainly
Voice Keyboard Pro's server stores only operational pings. No audio and no transcript content are stored on our side. What you dictate goes into the app you dictate into and stays there. Your survey app, your CRM and your email provider each have their own privacy positions, and it is worth knowing them. Ours is that we do not keep your words.
What it costs

How you will know it is working
Survey notes get longer in the right places: obstructions, assumptions, exclusions, what the customer actually said. Change orders get written the same day instead of reconstructed on Friday. The design team stops sending "can you call the customer and ask" messages. Commissioning reports stop piling up. And you get home with the day's writing already done, which for most people in this trade is the part that matters.

Frequently asked questions
Does it work with the survey app we already use?
On iPhone, if the app has a text field, the keyboard works in it, because Voice Keyboard Pro is a keyboard rather than a separate app. On Mac, if you can put a cursor in it, the hotkey works.
What about product names and model numbers?
Model names and brand names go into Smart Vocabulary on Mac so they come out spelled correctly. Model numbers and serials with digits in them get typed, always. That is the speak-the-descriptions, type-the-numbers rule.
Can my Spanish-speaking crew use it?
Yes. The iPhone keyboard translates two ways in 24 languages while you dictate, so a note said in one language arrives in the other. Read it before sending, especially for anything safety-related.
Does it need a signal?
The iPhone keyboard needs a data connection to transcribe. If the roof has none, write the note in the truck. The Mac app needs a connection as well.
Is anything recorded?
Regular dictation turns what you say into text in the app you are using. Meeting Mode is for meetings you deliberately choose to run it in, with everyone's knowledge. On our side, the server stores only operational pings, with no audio and no transcript content.
Is this any different from the built-in dictation on my phone?
The built-in keyboard mic works in a pinch. The differences that matter on a solar crew are Voice Edit for fixing text by voice, two-way translation for mixed-language crews, and on Mac, Smart Vocabulary for the model and brand names that built-in dictation keeps guessing at.
